A Week in the Life of a Crew Services Agent

Let’s explore a week in the life of Louisa Gallimore, a seasoned Crew Services Agent with almost two decades of experience in the maritime industry, specializing in the recruitment of superyacht crew.

Monday: It’s weird but I love Mondays – I tend to get to the office super early and get stuck into some admin whilst it’s quiet. Before the era of laptops and WhatsApp messages, this used to be my busiest admin day, with often over 200 emails to get through but these days I keep on top of urgent requests as and when they come in. Every morning we open our doors for crew interviews. Meeting crew is one of the parts I love best about my job and despite having done this job for 20 years, I never get bored. Such a huge part of recruitment is the feeling you get for candidates; you can’t teach it and you can’t learn it online; it comes with experience and although I’d like to think I’m a good judge of character, I’m still caught out often!

Tuesday: Communication is vital as a Crew Services agent and so I’ll spend time checking in with those clients with whom we have active roles, either in our office if they’re local or on the phone. Sending out CVs is the end product of a thorough process that includes reference checking and certificate verification, so can be extremely time-consuming but equally very rewarding!

Wednesday: I work from home, and I make the most of not interviewing crew in person to review and contact candidates newly registered with us either on the phone or via teams. It’s also a good time to update our social media and website blogs and posts. This isn’t particularly my strong point; however it’s so important and something I constantly am trying to get better at!

Thursday: This is a good day to get ahead with accounts – a huge part of our job is ensuring that invoices are raised correctly and in accordance with TVA regulations. Whilst most of our clients do pay invoices quickly, sometimes it’s not the case, and having to chase up payment can be a very frustrating part of my job!

Friday: The week concludes quickly, and the office is often bustling with charter and sales brokers, so it’s a great opportunity to catch up and share some industry insights! We work in such a fantastic industry. There is never a dull moment, and it’s a privilege to work with such a professional and funny bunch!
