Monaco Administrative Full Time

We are looking for a highly organized and detail-oriented Charter Retail Support to join our Monaco Team for a long-term position within our growing charter division.

In this position, you will be responsible for providing high-level operational, administrative and marketing support to charter brokers across our European offices.

You will also work closely with other departments globally, including KYC, Accounting, Marketing, Tech, Deep Data, and, to ensure seamless coordination and support throughout the entire charter booking process.

From preparing marketing materials to booking management and charter completion, you will play a key role in supporting Charter Brokers and ensuring a smooth, efficient process at every stage.

Duties & Responsibilities – Charter:

  • Charter Coordination: Supporting Charter Brokers with charter inquiries, yacht selections, payment handling, charter agreements, itineraries, and various forms
  • Compliance Support: Work closely with the KYC/Compliance department and Brokers to gather, review, and upload compliance documentation to the system
  • Client & Crew Liaison: Communicate with captains, central agents, brokers, and clients to ensure smooth operational execution
  • Marketing Support: Develop and update marketing materials, including client-facing flyers and booking documentation in line with broker instructions
  • CRM & Database Administration: Maintain and manage the CRM system, including accurate database updates and DOF (Disbursement of funds) payment handling
  • Broker Travel & Event Coordination: Arrange and coordinate broker travel, accommodation, and scheduling for yacht shows, client meetings, and industry events
  • Yacht Shows: Provide operational support during yacht shows
  • Global Projects: Contribute to global charter division initiatives, including process optimization and system improvements

Duties & Responsibilities – Support:

  • Assist with managing supplies inventory and placing orders when needed
  • Support with handling phone calls, emails, and general correspondence
  • Assist in organising meetings and internal events
  • Liaise with suppliers as required
  • Participate in the day-to-day general running of the workplace, ensuring it’s well organized
  • Assist with monitoring the supplies budget and preparing expense reports when needed
  • Provide general administrative support to ensure the smooth functioning of the entire business.

Experience

  • Previous experience in a fast-paced, client-focused environment is preferred
  • Marine/yachting Industry experience is an advantage but not required
  • Familiarity with compliance processes, including KYC documentation collection and record management
  • Experience working under pressure where speed and accuracy are equally important
  • Understanding of commercial sensitivity and the importance of timing in client transactions
  • Experience handling confidential information with discretion and professionalism preferred
  • Experience working with structured documentation systems or digital workflow platforms

Qualifications

  • Relevant work experience may be substituted for educational experience.
  • Job based in Monaco, with occasional travel
  • Residency within the French Riviera, Monaco, or Northern Italy region is required.
